Key Outcomes from 6-30-26 discussion

The team addressed a REIN one-time lockbox access code policy update (from yesterday’s email from REIN), clarifying it requires written seller permission before granting property access to third parties (photographers, cleaners, contractors). A water intrusion disclosure issue on an upcoming Norfolk listing was discussed and resolved with a clear action plan.

Decisions Made

  • REIN one-time access code: Requires advance written seller authorization (via listing agreement or new lockbox addendum) before any third party enters the property; contractor lockboxes remain acceptable with seller consent. https://www.reinmls.com/resources/keybox-systems/introducing-single-access-keyboxes
  • FSBO transaction: Not a limited service listing — classified as a “for-sale-by-owner”; entered into MLS post-closing using agent number 9999 for comp purposes; seller paying $2,000 + admin fee.
  • REIN dues payment: Members encouraged to pay by check to avoid the $9 debit card surcharge; note REIN’s membership system recently migrated, causing name/number alignment issues at the office. (Late fee applied 7/1.)
  • Property management: Confirmed no current involvement; team will continue to refer inquiries (e.g., to Christian Phillips at Inlet Realty for Virginia Beach & RPM in Chesapeake).

Action Items

  • Adelaida: Send water intrusion listing wording to admin@familyfirstrealtyinc.com for review before publishing; obtain repair estimate from crawl space contractor (Norfolk).
  • Amber: Draft reminder language in blue ink into the listing agreement template re: written seller permission for property access.  Compile 2026 neighborhood/HOA signs for Chris’s campaign. (save to shared Dropbox folder.)
  • Christine: Pull city/neighborhood signs from 2025 closings with HOAs for the neighborhood familiarity campaign; complete summer newsletter.
  • Amber: Research Norfolk crawl space contractors and email Adelaida with options. Thanks to John Matthews for recommending Hampton Roads Termite.

Announcements

  • Mary obtained a free lifetime National Parks pass (veteran benefit) at Shenandoah; open invite for a fall hiking trip when leaves turn.
  • No Grace period for REIN dues a $25 late fee applies on 7/1, which then escalates to broker-level fees.
